Request for Information (RFI)
The goal of an RFI is to ask a
series of questions to multiple suppliers, so that you gain a more
thorough knowledge about the suppliers ability to provide you with
goods and services at a competitive price and service
level.
In the offline-world you would
first create a questionnaire document, send it to your supplier
prospects through either e-mail, mail or fax. Then wait for them to
response, remind them about the questionnaires deadline. In the end
you may end up with partial responses and some responses altered
into a different format. Then you manually have to combined the
answers and then do your analysis.
In the online-world you can use
an existing eRFx template, adapt it to the specific requirements of
your search in order to mirror the type of questionnaire you
generally use for your tenders, invite your selected suppliers to
login and fill in their responses within a pre-defined timeframe,
follow their response progress by monitoring the event and after
the event has closed, analyze side by side their responses, either
online or offline; if required, score their responses and quickly
reach your conclusions about the best offering supplier(s).

By doing this digitally via the Scanmarket platform, a questionnaire is designed as a first step - it may contain yes/no, multiple choice and free-text questions

Each answer can be weighted differently, according to the relevance of the information to the buyer.

Based on the resulting information, each potential supplier is attributed a specific score.

An invitation to participate is sent via e-mail to suppliers and the questionnaire is completed online by potential suppliers.

A Scorecard & Factor Analysis module provides the basis for a strong identification and selection process that determines which suppliers are best suited to participate in the RFQ/RFP.

Request for Quotation (RFQ) or Request for Proposal (RFP)
- Selected suppliers are asked to submit a quotation or a proposal.
- The response to the RFQ or RFP, in addition to samples that may be provided, is the basis for qualification to bid at auction.
- RFQ/RFP can be conducted simultaneously with the RFI or be divided into two parts.
